Volunteer Agreement

This Volunteer Agreement describes the arrangement between you and  Endometriosis UK (registered charity number 1035810).

Your support as a volunteer is designed to contribute to the charity delivering its charitable aims to provide support and information to those with endometriosis and all those who care for them.  Your designated staff team who are responsible for all aspects of your support and management is the Support Network Team.  

Endometriosis UK commits to the following:

Recruitment

A great strength of Endometriosis UK is that the majority of our volunteers are those with direct experience of endometriosis.   However, endometriosis can be a debilitating condition and we have a responsibility to ensure that our volunteers are able to manage with the commitment they wish to undertake.  We aim to ensure that we recruit volunteers who are able to commit and cope fully with the time, emotional aspects, and other demands required of the role. 

Induction and training

We will provide:
•    An induction into/briefing of Endometriosis UK.
•    Training to enable you to fulfil the responsibilities of your specific role.
•    Information to enable you to fulfil your role. Guidance on our policies and procedures.

Supervision and support

We will:
•    Identify the standards we expect for volunteering roles and encourage and support you to achieve and maintain them.
•    Communicate with you to discuss your volunteering and keep you informed of developments at Endometriosis UK that may be relevant to your role.
•    Encourage you to take time out when your endometriosis and/or other personal circumstances require you to do so. 

Expenses

We will reimburse expenses:
•    Travel to and from home for purposes of face to face training  – see Travel Expenses Policy
•    Reasonable local travel expenses and refreshments for longer volunteer shifts – see Travel Expenses Policy
•    Any other expenses will only be paid if they have been agreed in advance. 
•    Please raise any other proposed or expected expenses with the Support Network Team before committing to them.

Health & Safety

We will:
•    Provide adequate training and feedback in support of Endometriosis UK's Health and Safety Policy.

Insurance

We will:
•    Provide public liability insurance cover for volunteers whilst undertaking voluntary work approved by us.  If you have any queries or concerns contact the Support Network Team

Problems

We will:
•    Aim to resolve any problems, grievances and difficulties you may have while you volunteer with us according to Endometriosis UK's Complaints Policy and procedures.

As a volunteer, you commit:

•    To help Endometriosis UK fulfil its objectives of providing support and information to those with endometriosis and all those who care for them.

•    To perform your volunteering role to the best of your ability and within the confines of the role outline.

•    To perform your volunteer role in accordance with any of the policies of Endometriosis UK which apply to volunteers, including Health and Safety and equality of service delivery.

•    To perform your volunteer role in accordance with Endometriosis UK’s Volunteer confidentiality and data protection agreement.

•    To acknowledge when factors outside your control, including your health prevent you from undertaking voluntary activity and ask for time out.

•    To maintain effective communication with the Support Network Team and keep the organisation up to date with your volunteering activities.

•    To respect and maintain the confidential information of the organisation and of its beneficiaries (see Volunteer confidentiality and data protection agreement). Personal contact details of beneficiaries provided by the organisation and/or obtained through your voluntary role must be stored securely.

     These contacts will remain under ownership of Endometriosis UK and must not be used outside of your voluntary role with the organisation.

•    To ensure that Endometriosis UK log in details are held securely and not shared with third parties.

•    To inform the charity when you represent Endometriosis UK at meetings with external groups. You must seek prior authorisation if you are requested to represent Endometriosis UK to ensure that your activities are in line with and integrated into the organisation’s overall communications/campaigning   

     strategies.

•    When using the Endometriosis UK logo for any activity that is not directly related to your voluntary role, you must seek prior authorisation from the organisation. Should you receive a request from any individual or organisation to use the Endometriosis UK logo, permission must always be obtained in

     advance from the Support Network Team. 

•    Where you are unable to undertake voluntary activity to which you had previously committed you should notify your designated contact at the earliest opportunity so that alternative arrangements may be made.

•    To agree to any criminal record checks being carried out if this is relevant to your role.

•    To complete volunteer experience feedback forms for monitoring and improvement purposes. 

•    You give Endometriosis UK your consent to license and use images/footage in any media of yourself – whether supplied by myself or another party - related to my volunteering activities for any purpose which may include, among others, advertising, promotion and marketing.

You will uphold the Charity’s Volunteer Agreement. That I have read and understood the Charity’s Volunteer Agreement and agree to the expectations outlined within.


This Agreement is binding in honour only.  It is not intended to be a legally binding contract between us and it may be cancelled at any time at the discretion of either party. Neither of us intends any employment relationship to be created either now or at any time in the future. All employment opportunities at Endometriosis UK are advertised in accordance with our recruitment procedures and all volunteers can apply following the usual recruitment procedures.
